Frequently asked questions
What file formats can it read?
Invoices accept PDF, HTML, or a phone photo (JPG, PNG, or HEIC). Mortgage statements, owner packets and closing statements are PDF only. Uploads accept up to 25 files at once, 25 MB each.
What happens if it gets the property or category wrong?
The entry still gets written, it's just flagged and sent to the Review page instead of guessing silently, so you can correct it in a couple of clicks. Or pick the property yourself in the upload form before the file even processes, which overrides the auto-detection entirely.
Will it double-book an expense that's also in my bank feed?
No. On Pro, an imported bank transaction is checked against your existing document-sourced entries, and a confident match to an invoice or statement you've already uploaded is marked as a duplicate rather than booked a second time.
Can I upload more than one document at a time?
Yes, up to 25 files in one upload. Each is processed and routed on its own.
Is document extraction a Starter feature, or is it Pro?
Invoice, receipt, mortgage-statement and owner-packet extraction are all included on Starter. Attaching a receipt to an existing ledger transaction, the Document Vault, and closing-statement scanning for acquisition basis are Pro features.
What happens with closing statements when I buy a property?
Upload the closing disclosure PDF on a property's Purchase & basis step and Keystone IQ pre-fills the purchase price, down payment, and closing costs. Nothing saves to your books until you review and confirm every field. This is a Pro feature.
Why does a mortgage statement split into two entries instead of one?
Interest is an operating expense; principal builds equity and isn't an expense at all. Booking the whole payment as one line overstates your costs and skews your NOI, so Keystone IQ always splits the two.
Do I have to upload a mortgage statement every month?
No. On Pro, you can connect your mortgage servicer directly instead of uploading statements: Keystone IQ then posts principal and interest automatically and keeps your mortgage balance synced, so equity stays current without any manual upload. Manual statement upload still works on any tier.
